1. About These Terms

These Terms and Conditions apply to all bookings made with Tile Farm Off Road Limited (“TFOR”, “we”, “us” or “our”).

By making a booking, you confirm that you have had the opportunity to read these Terms and Conditions and agree to be bound by them.

Nothing in these Terms affects your statutory rights.

2. Booking Enquiries and Contact Forms

When you submit an enquiry or booking request, we will use the information provided to respond to your enquiry and administer any booking you make.

We process personal data in accordance with our Privacy Policy, which is available on our website.

For Quads and Clays bookings, relevant booking information may be shared with our activity partner Aim For The Sky where necessary to fulfil your booking.

For off-site activities, relevant booking information may be shared with the event provider where necessary to fulfil your booking.

3. Booking Process

Bookings may be made via our website, by telephone, email, or any other method approved by TFOR.

All bookings are subject to availability.

A booking is not confirmed until the required deposit or full payment has been received and a booking confirmation has been issued by TFOR.

Where a deposit is accepted, the remaining balance must be paid in accordance with the instructions provided at the time of booking.

4. Booking Confirmation

Upon receipt of the required payment, a booking confirmation will be issued.

It is your responsibility to review the confirmation and notify us immediately of any errors or omissions.

If you have not received a confirmation, please contact us before your activity date.

5. Activity Information

Activity durations are approximate and may include:

  • Safety briefings

  • Equipment fitting

  • Instruction sessions

  • Operational delays

Activity descriptions, restrictions and requirements are published on our website and may be updated from time to time.

The activity details and pricing applicable to your booking are those in force at the time your booking is confirmed.

6. Arrival Requirements

Participants must arrive at the time specified on their booking confirmation.

For most activities, participants should arrive at least 20 minutes before their activity start time unless otherwise advised.

Participation is conditional upon:

  • Attendance at the safety briefing;

  • Completion of any required documentation;

  • Compliance with staff instructions.

Late arrivals may be unable to participate.

Where participation is permitted despite a late arrival, the activity duration may be reduced.

Late arrivals may be treated as a cancellation and the cancellation policy may apply.

Where one member of a group arrives late, the remaining participants may proceed with their activity as scheduled.

7. Cancellation and Amendments

More than 7 days before the activity

Customers may:

  • Receive a full refund; or

  • Rearrange their booking to an alternative date.

Between 48 hours and 7 days before the activity

Customers may:

  • Receive a refund of 50% of monies paid; or

  • Rearrange their booking to an alternative date.

Less than 48 hours before the activity

No refund, credit or postponement will be offered.

These cancellation terms apply regardless of the reason for cancellation, including illness, injury, travel disruption or infectious diseases.

All cancellations must be acknowledged by TFOR in writing before they are considered valid.

Where a booking has been postponed, no further postponements or refunds will be available unless otherwise agreed by TFOR.

Different cancellation terms may apply to activities operated as part of external events or festivals.

8. Refunds

Where a refund is due, we aim to process it within 48 hours.

Depending on your payment provider, funds may take additional time to appear in your account.

Refunds will not exceed the amount paid to TFOR for the relevant booking.

Nothing in this clause limits any rights you may have under consumer law.

9. Group Bookings

Discounted group rates may be based on minimum participant numbers.

Where participant numbers are reduced, TFOR reserves the right to recalculate the booking price using the pricing structure applicable to the revised group size.

10. Gift Vouchers

Gift vouchers:

  • Are non-refundable;

  • Are non-transferable unless otherwise agreed;

  • May only be redeemed against eligible activities;

  • Must be redeemed before their expiry date.

Voucher expiry dates are displayed on the voucher.

Where TFOR is unable to operate due to circumstances beyond its control, voucher validity may be extended at our discretion.

Gift vouchers cannot be redeemed against external events, festivals or third-party activities unless expressly stated.

11. Weather, Force Majeure and Events Beyond Our Control

TFOR may cancel, postpone or modify an activity where necessary due to:

  • Severe weather;

  • Site conditions;

  • Equipment failure;

  • Government restrictions;

  • Health and safety concerns; or

  • Any circumstance beyond our reasonable control.

Where we cancel an activity, customers will be offered either:

  • A rescheduled booking; or

  • A full refund.

If a customer chooses to reschedule, no refund will subsequently be available.

Where we reasonably determine that conditions remain safe and suitable for operation, a customer’s decision not to participate will be treated under the cancellation policy.

12. Participant Conduct

Participants must behave in a safe, respectful and responsible manner at all times.

We reserve the right to remove any participant from an activity or require them to leave the site where they:

  • Behave aggressively, abusively or inappropriately;

  • Fail to follow safety instructions;

  • Endanger themselves or others;

  • Cause damage to property or equipment.

No refund will be provided where removal results from the participant’s conduct.

13. Eligibility and Participation

We may refuse participation where:

  • Age restrictions are not met;

  • Height or weight restrictions are not met;

  • A participant appears under the influence of alcohol or drugs;

  • A participant has not completed required documentation;

  • A participant arrives too late;

  • We reasonably believe participation would present a significant safety risk.

Where a participant has a medical condition, disability or additional support need, we encourage disclosure before booking so that reasonable adjustments can be considered where practicable and safe.

Certain activities may not be suitable for all participants due to safety requirements or insurance restrictions.

14. Health and Safety

Outdoor motorsport and off-road activities involve inherent risks.

All participants acknowledge that:

  • They take part voluntarily;

  • They will follow all safety instructions;

  • They will wear all required safety equipment;

  • They will operate equipment responsibly and within their abilities.

Failure to comply with safety requirements may result in exclusion from the activity.

Refusal to complete required documentation may result in cancellation of participation without refund.

15. Activity Restrictions

Participants are responsible for ensuring they satisfy all published restrictions and requirements before booking.

These may include:

  • Age restrictions;

  • Height restrictions;

  • Weight restrictions;

  • Physical capability requirements;

  • Health and safety requirements.

16. Driving Licences

A driving licence is not required unless specifically stated in the activity description.

17. Complaints

If you are dissatisfied with any aspect of your experience, please raise the matter with a member of staff as soon as possible so that we have the opportunity to resolve it.

If your concern cannot be resolved on the day, please contact us in writing within a reasonable period following your visit.

We aim to acknowledge complaints within seven working days.

18. Photography, CCTV and Body-Worn Cameras

CCTV and body-worn cameras may operate on site for safety, security, incident investigation and insurance purposes.

Guests may take photographs and video recordings for personal use.

Images or recordings containing identifiable members of staff or other visitors must not be publicly published, shared, streamed or otherwise distributed without the prior express consent of those individuals.

19. Limitation of Liability

Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for:

  • Death or personal injury caused by negligence;

  • Fraud or fraudulent misrepresentation;

  • Any liability that cannot lawfully be excluded.

Subject to the above, TFOR shall not be liable for any indirect or consequential loss arising from a booking or participation in an activity.

Our total liability shall not exceed the amount paid by the customer for the relevant booking.

20. Severability

If any provision of these Terms is found to be invalid, unlawful or unenforceable, the remaining provisions shall continue in full force and effect.

21. Waiver

Any failure by TFOR to enforce a right under these Terms shall not constitute a waiver of that right.

Any waiver must be confirmed in writing.

22. Governing Law

These Terms and Conditions are governed by the laws of England and Wales.

Consumers may bring proceedings in the courts of their home jurisdiction within the United Kingdom where applicable.
